The Quilted Bear takes great pride in offering you and your guests an atmosphere of warm, friendly service.
The following policies have been established to enable us to accommodate you in a most efficient way.

To confirm the Panda or Koala Rooms on a Saturday, a $500 facility charge is required per room.This is also used as your deposit. It is non-refundable and will be used to cover the room set-up, white linen, china, cake cutting and bartenders.

To confirm the Panda or Koala room on Friday or Sunday the facility charge is $300 for the Koala Room, $400 for Panda Room or $600 for entire ballroom. This is used as your deposit. It is non-refundable and will be used to cover the room set-up, white linen, china, and cake cutting and bartenders.

A service charge of 19% will be added to all food and beverage bills. State sales tax is applied to ALL food, beverage, and service charges.

The menu, bar services, and times must be arranged 45 days in advance.

All food bills are due and payable 10 days prior to the function, at which time you will guarantee your final number. This number will be considered a guaranteed count and is not subject to reduction. Charges will be made for the number of guests served or the guaranteed count, whichever is greater.

All final bills (bar bills and any guests above guaranteed count) are due and payable the day of the function.
Payments may be made with cash or credit cards. Checks will not be accepted for final payment.

Prices listed on the menu and service charges are subject to change without notice. Firm menu prices can be quoted in writing forty-five (45) days prior to the event, if requested.

To avoid damage: NO attachment of any materials to walls, doors, ceiling or fixtures is allowed. NO crepe paper, streamers, glitter, or confetti are permitted. Candles used need to be contained. Any open flames will be extinguished. Quilted Bear reserves the right to stipulate how decorations may be placed. Any damages incurred will be paid for by the booking party, responsible party.

Only food and beverage furnished by the Quilted Bear will be served (with the exception of wedding cakes).
Due to state and local health ordinances no unused food or beverage can leave the premises.

All functions must be concluded by 12:00 AM; at this time, entertainment and bar service ceases.
The facility must be vacated no later than 12:30 AM.

Bands or DJ’s will set up in a location designated by The Quilted Bear.This may or may not be in the location of the head table depending on the lay out of your room and the number of guests. For special arrangements the Band or DJ will need to contact the Quilted Bear 10 days prior to the event.The Quilted Bear reserves the right to regulate sound levels of all entertainment.

If a customer chooses to delay the start time of an event by more than 15 minutes with less than 24 hours notice, The Quilted Bear is not responsible for the time line for the duration of the function or the quality of the food.

Maximum Room Capacity; Koala Room – 150, Panda Room – 250, Both Rooms – 450, Cub’s Den – 75.
